Softhunters Technology Pvt. Ltd. is a professional IT and Digital Marketing agency serving clients across domestic and international markets. We are committed to delivering high-quality, result-driven services including web development, software solutions, SEO, social media marketing, paid advertising, content strategy, and branding.

This document outlines the company’s official policies governing cancellations, refunds, service delivery, and dispute resolution. These policies apply to all engagements, contracts, and transactions entered into with Softhunters Technology Pvt. Ltd., and are designed to ensure transparency, fairness, and a consistent client experience.

By engaging our services or placing an order, clients acknowledge and agree to the terms outlined in this policy document.

2. Scope & Applicability This policy applies to:

All digital marketing services (SEO, PPC, Social Media, Content Marketing, Email Marketing)
All IT and software development services (Web Development, App Development, Custom Software)
Consulting, strategy, and advisory engagements
One-time project deliverables as well as ongoing retainer-based services
All clients, irrespective of geography — India and global markets

This policy does not apply to third-party tools, software licenses, or platform fees (e.g., Google Ads spend, Meta Ads spend, domain registrations, hosting fees), which are governed by the respective service providers’ terms.

3. Cancellation Policy
Softhunters Technology Pvt. Ltd. understands that business priorities can change. We have established the following cancellation terms to balance client flexibility with operational continuity.

3.1 Eligibility for Cancellation
Cancellation requests are considered subject to the following conditions:

Cancellation requests must be submitted in writing (via email to info@Softhunters.In) immediately upon or within 24 hours of placing the order or signing the service agreement.
Requests made after 24 hours of order placement may not be entertained, particularly if work has already commenced or resources have been allocated.
If the project has been formally communicated to internal teams, third-party vendors, freelancers, or technology partners, and work has been initiated, the cancellation request may be declined or partial charges may apply.
For ongoing retainer agreements, cancellations must be requested at least 30 days prior to the next billing cycle. Cancellations within the active billing period will not be eligible for a prorated refund unless explicitly agreed upon in the service contract.

3.2 Non-Cancellable Services
The following services and deliverables are non-cancellable once initiated:

Custom software development or web development projects where design, architecture, or coding has commenced
Campaigns or creatives that have been approved by the client and launched on any platform
Content packages where writing, design, or production work is underway
Domain registrations, SSL certificates, and hosting services procured on the client’s behalf
Any service where third-party costs have been committed or incurred

Softhunters Technology Pvt. Ltd. reserves the right to assess each cancellation request on a case-by-case basis, taking into consideration the stage of project completion and resources deployed.

4. Refund Policy
We are committed to client satisfaction and quality delivery. The following refund terms govern disputes arising from service quality, non-delivery, or other eligible concerns.

4.1 Eligible Refund Scenarios
Refunds may be considered under the following circumstances:

The deliverable materially deviates from the agreed scope of work as defined in the project brief, proposal, or executed contract. In such cases, the refund percentage shall be determined solely at management’s discretion. Management will evaluate the effort invested, resources utilized, and costs incurred to date. Any refundable amount will be calculated based on the portion of work not yet completed, after deducting the value of work already performed. Management’s decision shall be final and binding.
Duplicate payment has been made by the client for the same invoice or order

4.2 Non-Refundable Scenarios
Refunds will not be applicable in the following cases:

Client dissatisfaction due to subjective preferences where the deliverable meets the agreed specification
Change in client’s business direction, strategy, or priorities after project commencement
Delays caused by the client (e.g., delayed approvals, incomplete briefs, non-responsiveness)
Third-party platform fees, advertising spend, or tool subscriptions procured on behalf of the client
Services that have been fully rendered and accepted by the client

5. Service Quality & Complaint Resolution
We take quality seriously and are committed to resolving client concerns promptly and professionally.

5.1 Reporting Concerns
If a client believes that the deliverable received does not meet the agreed standards, the following process applies:

The concern must be reported to our Customer Success Team at info@softhunters.in within 24 hours of delivery or receipt of the deliverable.
Concerns raised beyond 24 hours of delivery may not be eligible for remediation under this policy, unless a latent defect is discovered that could not reasonably have been identified at the time of delivery.
The complaint must include specific details of the concern, supporting screenshots or documents, and reference to the agreed deliverable specification.

5.2 Review & Resolution Once a complaint is received:
Our project team will conduct an internal review within 3 business days
If the concern is validated, we will offer a revision, re-delivery, or applicable remedy as determined by the management
Frivolous or unsubstantiated complaints will be communicated back to the client with a detailed response

Softhunters Technology Pvt. Ltd. is committed to maintaining clear communication throughout the resolution process, and our goal is to reach a fair outcome for all parties.

6. Warranty & Third-Party Services
For services or technology components that are provided with a manufacturer’s or vendor’s warranty — including but not limited to hosting infrastructure, licensed software, or hardware procurement — clients are advised to directly contact the respective vendor or manufacturer for warranty claims.

Softhunters Technology Pvt. Ltd. will provide reasonable assistance in liaising with third-party vendors where applicable, but does not assume liability for warranty obligations of external service providers.

7. Intellectual Property & Deliverable Ownership
Upon receipt of full payment, the client is granted ownership of all agreed custom deliverables (e.g., website, application, creative assets) as specified in the project contract.

Until full payment is received, all work, code, designs, and materials produced by Softhunters Technology Pvt. Ltd. remain the intellectual property of the company. The company retains the right to withhold delivery of final assets until payment obligations are fulfilled.

Softhunters Technology Pvt. Ltd. reserves the right to display completed work in its portfolio, case studies, and marketing collaterals unless the client requests confidentiality in writing at the time of project commencement.

8. Governing Law & Dispute Resolution
This policy and all client engagements with Softhunters Technology Pvt. Ltd. are governed by the laws of India. In the event of any dispute arising out of or in connection with these policies, the parties shall first attempt to resolve the matter amicably through direct communication.

If a resolution cannot be reached within 30 days of the dispute being formally raised, the matter shall be referred to arbitration as per the Arbitration and Conciliation Act, 1996 (India). The seat of arbitration shall be Jaipur, Rajasthan, India.

For international clients, disputes shall be resolved as per mutually agreed terms defined in the service agreement, failing which Indian law shall prevail.

9. Policy Updates & Amendments
Softhunters Technology Pvt. Ltd. reserves the right to amend or update this policy at any time. Clients will be notified of material changes via email or through our official website. Continued engagement with our services following such notification constitutes acceptance of the updated policy.
